Job Summary: The Scheduling Coordinator is responsible for efficiently scheduling new construction jobs across all markets, ensuring timely and accurate communication with builders and internal teams. This role involves managing job schedules based on builders’ requests, utilizing Microsoft Dynamics, and maintaining an internal scheduling spreadsheet for backup purposes.
Key Responsibilities:
Job Scheduling:
- Schedule new construction jobs based on requested dates from builders received via text message, phone call, email, and builder schedules (portals).
- Ensure jobs are scheduled using Microsoft Dynamics and documented on the internal scheduling spreadsheet.
Communication:
- Respond quickly, accurately, and professionally to text messages and emails from builders.
- Communicate and collaborate with General Managers (GMs) and Assistant General Managers (AGMs) in each branch.
Job Verification:
- Locate jobs in Microsoft Dynamics to identify communities, builders, and branch locations to ensure accuracy when scheduling.
- If a job cannot be found in Dynamics, confirm the builder, community, lot number, address, and type of labor requested (dry-in, shingle install)
Shingle Install Coordination:
- Before confirming the installation date with the builder, verify in the material suppliers’ portals (ABC Supply, SRS, Beacon) that shingles have been ordered and have a delivery date prior to the requested installation date.
Issue Resolution:
- Notify branch management if builders request updates on previously scheduled jobs or have concerns regarding installation.
- Inform builders that branch management will be made aware and will reach out directly.
End-of-Day Tasks:
- Ensure all text messages and emails are responded to before leaving for the day.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration, logistics, or a related field is preferred.
- Previous experience in scheduling, coordination, or logistics.
- Proficiency in Microsoft Dynamics and other scheduling software.
- Strong communication and interpersonal skills.
- Excellent organizational and time management skills.
- Ability to work under pressure and meet tight deadlines.
- Attention to detail and problem-solving abilities.
