Job Summary:
We are looking for a Project Administrator to support our Multifamily Project Management Team. As a Project Administrator, you will be responsible for assisting with paperwork management and various administrative tasks related to our expanding multi-family department. Your role will involve coordinating with project managers, superintendents, subcontractors, and vendors to ensure smooth operations and timely completion of projects. This is a full-time position based in Longwood, FL (Greater Orlando) and only local candidates will be considered.
Responsibilities:
- Prepare a high volume of purchase orders, change orders, and other project-related documents.
- Gather quotes and assist with material orders.
- Track and provide ETA dates for all active orders to project managers.
- Assist with accounts receivable and accounts payable.
- Organize daily and weekly department activities, including scheduling meetings and managing calendars.
- Create and maintain logs and records as required.
- Provide excellent service to the department and coworkers, ensuring effective communication and collaboration.
- Interact professionally with office personnel, vendors, and stakeholders.
- Assist with the preparation and logging of NTO (Notice to Owner) and NOC (Notice of Commencement) documents.
- Perform other duties as assigned.
Qualifications:
- Positive attitude, resourcefulness, and ability to work under pressure in a construction environment.
- Strong work ethic with a commitment to delivering high-quality and professional work.
- Highly organized with excellent multitasking and prioritization skills.
- Proficient in Microsoft Word, Excel, Outlook, and general office equipment.
- Willingness to learn and adapt to new software programs as needed.
- 1 year of experience as a bookkeeper or project assistant preferred. Window or GC subcontracting experience is a plus!
- Proficiency in Excel is preferred but not required.
- Reliable attendance and punctuality.
- Ability to seek guidance and direction when necessary.
- Strong attention to detail and accuracy in handling paperwork.
- Excellent verbal and written communication skills.
Salary and Benefits:
