HomeAid Orlando (HAO) delivers a powerful, direct solution to helping the homeless. By linking building industry resources and capabilities with the very best Service Providers (charity running homeless shelters) in Orlando, HAO and its partners create housing and shelters for our homeless neighbors that otherwise would not be built. HAO is an efficient cost-effective way to develop shelters for the transitional homeless.

 

The Position:

The Operations Manager (OPS) is a vital position for the success of HAO to achieve its mission of building new lives for Orlando’s families and individuals through housing and community outreach. HAO is an affiliate of HomeAid America (www.homeaid.org), a national building industry non-profit based in Newport Beach CA and with affiliates in 19 markets across the country.

 

Reporting to the Executive Director, the OPS will be responsible for supporting the growth and success of HAO by supporting communications internally and externally, managing major administrative elements of our operations, growing volunteer activities across HomeAid mission elements, and organizing records around all areas of HAO functions with excellence. HAO is a growing organization, and all roles must embrace flexibility and cooperation to adapt to growth and changes. This role will require the initiation and coordination of special projects as assigned by staff in addition to regular responsibilities. This is a developmental position which will allow growth in responsibilities and leadership opportunities.

 

The OPS will be evaluated on the efficiency of meeting preparation and communication for the Board and various committees. Growth in volunteer activities, CARE DAYS and ESSENTIALS, as well as volunteer activities supporting partner non-profits. The management of Database reporting and growth of the data itself. Goals for social media growth and numbers of followers will be established. Evaluation on the effectiveness and utilization of support services for events and presentations will also be done regularly throughout the year.

 

Key Responsibilities:

· OPS will manage the administration and communication with identified volunteers within HAO membership, for the support of outreach activities, such as CARE DAYS (painting, landscaping, cleaning—non-skilled labor for day projects), ESSENTIAL DRIVES (care kits, shelter supplies, food, and other one-day or campaign events including “Builders for Babies” diaper drive), and EVENT staffing for revenue and non-revenue events.

· OPS will engage in project support with volunteer coordination for groundbreaking/ ribbon-cutting ceremonies, CARE DAYS clean-up or other activities, and recruitment events.

· OPS will maintain, update, and manage information in the electronic membership database (SalesForce) and run reports/support communications from the data to email campaigns, mailings, event support, and more.

· OPS will support other staff needs in communication, application or recordkeeping for grant activities, website maintenance, social media, event web pages, and other marketing efforts.

· OPS will manage the activity calendar for HAO, covering events, recurring and one-off meetings, along with coordination with HAA, GOBA, and other pertinent calendars.

· OPS will work closely with ED, Fundraising committee, and other resources to support the sales efforts of HAO in growing revenue and membership, including introductory messaging, calendar coordination and follow-up activities by ED and committee.

· OPS will coordinate board meeting pre-event communication, minutes recording and distribution and filing of documents, minutes, and other needs.

· OPS will coordinate committee meetings as requested by committee chairs and staff, to include Executive committee notices and minutes distribution, as well as meeting communications.

· OPS will manage on-line filing systems, such as Dropbox or other electronic services to maintain file access by the appropriate parties identified as needing access.

· OPS will coordinate with the Development and Grants Manager, as well as manage or initiate activities around social media to grow followers and engagement to HAO and the mission. Included media: Facebook, LinkedIn, Twitter, Instagram, YouTube, and others as identified.

· OPS will coordinate with the Development and Grants Manager to manage the delivery of email messaging; utilizing available tools and established vendors for creation of a monthly newsletter, collateral material communicating HAO, and communication of issues pertinent to members and others.

· OPS will communicate and coordinate with the staff of HomeAid America (HAA) to assure that HAO’s activities and outcomes are in keeping with the organization’s national Mission, model, and standards, participating in HAA national calls and meetings as appropriate.

· OPS will act as a liaison and ambassador of HomeAid to foundations, government agencies, event and communications resources and others to support success and growth of HAO.

 

Essential Job Functions:

· This position requires the ability to work independently and as part of a team, with the ability to meet deadlines.

· Work will be mostly remote (~70%+) with meetings and event needs requiring travel to office (Maitland) and around the Greater Orlando/Central Florida region. Transportation is required.

· This role will coordinate in-person and on-line meetings, serving as host or admin for Zoom, Teams and other meeting applications as needed.

· This position requires the ability to work both indoors and outdoors, occasionally moving, carrying, lifting items up to 25 pounds, standing for long periods of time.

· The typical hours of this role are 8am to 5pm Monday through Friday, although activities may require working evenings or weekends occasionally.

· Providing support to the Board and Executive staff in developing and executing the strategic direction and goals of HAO.

· Ensure that projects, outreach activities and other accomplishments of HAO are broadcast to audiences in multiple formats and settings.

· Maintain the resources needed to support comprehensive communications with membership, public and other targeted audiences, such as graphics software, mail processing, database management, on-line social media, among others.

· Represent HAO with professionalism, courtesy, and respect for all audiences, acting with high ethical standards, employing compassion and empathy for agency partners and those they serve.

 

Qualifications:

· 3+ years of broad business support experience or non-profit operations experience preferred.

· A customer service mindset for both internal and external relationships, building and nurturing rapport and trust; placing high value on relational skills.

· Ability to multitask, think quickly, manage projects, and prioritize assignments; flexibility and willingness to accept feedback and pivot approach when necessary.

· Problem solving skills that support sound decision-making.

· Volunteer liaison or coordination experience a plus.

· Knowledge of SalesForce, fundraising software, and general office software (MS 365 Word, Excel, PowerPoint, Outlook, Teams). Experience with remote file management through Google Drive, Dropbox or similar.

· Experience in process coordination, such as meeting management, filing and organizational support to operations staff activities.

· Website maintenance and social media marketing experience required.

· Excellent verbal communication and writing skills. An eye for quality graphics and proof-reading proficiency a plus.

· Familiarity with the homeless and affordable housing issues in Central Florida is beneficial, but not required.

· Experience or knowledge of the residential or commercial construction industry is also beneficial but not required.
