Position Overview:

We are actively searching for a highly organized and diligent Office Manager to oversee our administrative operations. This pivotal role requires a candidate who can effectively answer customer inquiries, manage purchase orders, inventory, invoicing and the full spectrum of accounts payable and receivable. The perfect fit would have familiarity with the HVAC industry and understanding of back office operations.

Responsibilities:

  1. Oversee daily office operations and provide administrative support to the management team.
  2. Manage purchase orders, invoicing, accounts payable, and accounts receivable with precision and timeliness.
  3. Maintain an organized system for financial records, ensuring accuracy and compliance with regulations.
  4. Coordinate with suppliers, ensuring inventory levels are maintained and purchasing is cost-effective.
  5. Assist in the development and implementation of office policies and procedures.
  6. Interact with clients, providing excellent customer service and addressing inquiries related to billing and services.
  7. Collaborate with cross-functional teams, streamlining operations and fostering teamwork.
  8. Stay updated with trends in the HVAC industry, leveraging knowledge to optimize administrative procedures.

Qualifications:

  • Minimum of 3 years of experience in an office management role, with demonstrated expertise in purchase orders, invoicing, and accounts payable/receivable.
  • Must have prior experience with QuickBooks, as well as the Microsoft Office Suite.
  • Prior experience in the HVAC industry is a significant advantage.
  • Proficiency in managing and maintaining inventory.
  • Strong organizational skills with a detail-oriented approach.
  • Excellent communication and interpersonal abilities.
  • Proficiency with office software, including financial management systems.
  • A proactive mindset, with the ability to anticipate needs and implement effective solutions.
