- The executive assistant provides high-level administrative support to company executives by conducting research, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives.
- Complete a broad variety of administrative tasks for the Executive including: managing extremely active calendars; complete expense reports; compose and prepare correspondence; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
- Communicate directly, on behalf of the Executive with executives, administrative and management personnel on all matters related to the organization.
- Research, prioritize and follow up on incoming issues and concerns addressed to the Executive, including sensitive or confidential issues.
- Determine appropriate course of action, referral or response.
- Manage multiple projects in a fast-paced environment and prioritize projects that requires the Executive’s involvement, including off-site high level visits, involving the management of critical logistics, such as developing schedules or preparing meetings, arranging facilities, IT support, caterers, issuing information and invitations, and working alongside other internal departments as needed.
- Work closely and effectively with the Executives to keep them well informed of upcoming commitments and responsibilities, and help to build relationships crucial to the success of the organization.
- Highly focused and results-oriented in supporting complex, deadline-driven operations, able to maintain goals and priorities and resolve issues in initial stages.
- Assist with some personal matters.
- Capability to work extended hours as necessary.
- While performing the duties of this job, the employee is regularly required to talk and hear, in order to communicate to employees/visitors.
